UAE Dolphin Project Initiative (UAEDP) Data Privacy Policy and Consent Form

The UAE Dolphin Project Initiative (UAEDP) (“we”, “our”, “us”) processes the data you submit solely for research purposes aimed at advancing the conservation of cetaceans.

1. Data We Collect

We collect the following personal data (information relating to an identified or identifiable natural person (“Data Subject”)):

  1. Name, Phone number, Email address, Company name (if applicable)
  2. Information related to the sighting you report, including: Date, Time, Location, Platform of observation, Videos and/or photographs associated with the sighting, additional observations.

We will use your personal data as you submitted: a. Name, Phone number, Email address, Company name (if applicable), and b. Information related to the sighting you reported, including: Date, time, Location, Platform of observation, Videos and/or photographs associated with the sighting, additional observations.

3. Purposes – why do we want to use your personal data?

Your name and contact information will be used to contact you only if we require additional information regarding the sighting you submitted, in order to fulfil the research purposes described above. The information you submitted related to the sighting will be used to advance the knowledge of cetaceans and support their conservation.

4. Access to Your Personal Data

Your privacy and trust are of utmost importance to us. We will share your personal data only with UAEDP affiliates and/or third parties who have a legitimate need to know, solely to help us achieve the stated research purposes.

5. Cross‑Border Data Transfers

If we engage third parties that involve the transfer, access to, or use of your personal data in another country, we will ensure that appropriate safeguards are implemented to protect your personal data in accordance with applicable data protection laws.

6. Data Security Measures

Your personal data is hosted on servers operated by Aruba S.p.A. within the European Union. Aruba maintains full GDPR compliance and holds internationally recognized certifications, including:

  • ISO/IEC 27001
  • ISO/IEC 27017
  • ISO/IEC 27018
  • ANSI/TIA‑942 Rating 4 (data center reliability)

These measures ensure high standards of data security, privacy, and availability.

7. Data Retention Period

Your Name, Phone number, Email address, Company name (if applicable) will be retained only for the period necessary to verify the information related to the sighting you submitted, unless a longer retention period is required or permitted by law. In any case,you Name, Phone number, Email address, Company name (if applicable) will be retained for a maximum of two (2) years.

Information related to the Sighting you reported (Date, time, Location, Platform of observation, Videos and/or photographs associated with the sighting, additional observations) will be anonymized and stored indefinitely for research purposes only as mentioned above.

8. Use of Images and Recordings

By agreeing to this consent form, you grant UAEDP full permission to use, reproduce, and publish any images or recordings you submit for research, educational, and communication purposes, in any format, without further consent, notice, or compensation.

  • If you wish to be credited when your images or videos are used, please email sighting@uaedolphinproject.org with your name and request.
  • If you do not wish your photos or videos to be published or shared through UAEDP channels, please notify us at the same email address abovementioned. In this case, your material will remain confidential and used solely for research purposes.

9. Your Rights

You have the right to:

  • Withdraw your consent at any time
  • Request access to your personal data and receive a copy
  • Request correction, update, or deletion of your personal data
  • Request restriction of processing
  • Object to processing, including automated decision‑making and profiling
  • Request data portability

Withdrawal of consent will not affect the lawfulness of processing carried out prior to withdrawal. In certain cases, we may continue processing your data if required or permitted by law.
